According to Interpharma, 118.4 billion CHF of Swiss pharmaceutical exports represent 41.3 % of Swiss exports excluding gold. 52.8 % of exports from the chemical and pharmaceutical industry are to the EU.

At this scale, a stock difference between the ERP, the warehouse, and sales channels is enough to create operational uncertainty. Teams no longer know what quantity is available or which trace to consult when an exception occurs.

An ERP (Enterprise Resource Planning) is the system that manages business and management data. A WMS (Warehouse Management System) is the system that executes and tracks physical movements in the warehouse. Their integration connects orders, stocks, and fulfillment operations. It also ensures the best practices for distribution of traceability.

This article explains the synchronization between ERP, WMS, and logistical operations for pharmaceutical stocks in Switzerland. It covers operational traceability, technical controls, and exchanges with the European Union. It does not constitute a certification or a regulatory opinion.

Why the ERP–WMS integration is crucial for pharmaceutical stocks

A consistent management framework and warehouse execution

89 % large companies in the EU use an ERP in 2025, compared to 41% of small businesses (source: Eurostat).

The ERP generally carries commercial references, orders, customers, and management rules (read the blog article on the integration of ERP systems and pharmaceutical inventory management for BPD operations of Tiger Pharma).

The WMS manages receipts, locations, movements, preparation, and shipping. This distribution is based on the operational model chosen by the company, and not a universal obligation.

A controlled pharmaceutical flow combines processes, reference data, rights, stock statuses, interfaces, and proofs. Its exact content depends on the products, processes, and responsibilities of the company (Tiger Pharma) [1].

Emaloja uses integrated inventory and order management software to improve traceability and reduce errors for its logistics digitalization.

Pharmaceutical data that must not diverge

What should an ERP integration synchronize for pharmaceutical inventory in Switzerland? The scope includes product identifiers, available quantities, locations, batches, expiration dates, and stock statuses. It also includes orders, returns, and inventory movements. Serial numbers are transmitted when they apply to the relevant products.

Each data point and each status change must have a responsible system, particularly for quarantine, release, or blocking. Before any interface, designate the system that creates, modifies, and confirms each piece of information.

The data flow to maintain from receipt to shipping

How do the data flow between the ERP, the WMS, and the warehouse or fulfillment operation? The flow follows the physical events and sends a confirmation after each significant action.

Receiving, checking, and stocking

Upon receipt, the interface transmits or matches the product identifier, the expected quantity, the purchase order, and the lot information. The check adds the received quantity, the expiration date, and, when necessary, the serial numbers.

The WMS then assigns a location and a status. Quarantine, release, and blocking must have a common definition in the systems.

In a fictional scenario, the receipt of a lot triggers a controlled update. The WMS records its location and status, then confirms this data to the management system.

Order, preparation, and shipping

The responsible system transmits the order and requests the reservation. The WMS confirms availability, then associates the preparation with the product, the lot, the expiration date, and, if applicable, the serial number.

The WMS used by Emaloja ensures precise tracking of inventory, as well as preparation, packaging, and labeling. Emaloja also indicates that its WMS automatically updates the inventory of stores in real time. However, extending this flow to a pharmaceutical ERP requires a technical framework specific to the project.

In this fictional scenario, the reserved order provides the WMS with the necessary data for preparation. After handing over to the carrier, the WMS sends back the shipping confirmation, the order reference, and the transport information.

Returns, discrepancies, and flows Switzerland–European Union

A return must maintain its link with the order, the product, the batch, and its evaluation status. An inventory adjustment must specify the quantity, the reason, the location, and the states before and after modification.

Swiss Medic provides:

  • 10 days: Return may follow a standard procedure
  • 30 days: Limit of the period requiring additional justification
  • +30 days: Exceptional reintegration, under strict conditions

For exchanges between Switzerland and the European Union, every event of import, customs clearance, handover to the carrier, or exception must have an owner, a status, and a traceable link to the order and inventory data. The scope must specify which systems track these events, without assuming that a particular customs process is included.

Traceability checklist and evidence to retain

What traceability evidence must be available for receipt, preparation, shipping, returns, and stock adjustments? The following checklist serves for operational framing. It does not represent an exhaustive list of legal obligations nor a list of functions already available at Emaloja.

📦 Operation

🔄 Data

📝 Traceability

✅ Control

📦 Receipt

🔄 Product, quantity, batch, expiration, applicable serial number

📝 Receipt reference, user, date and time

✅ Reconciliation between expected and received

📦 Quarantine or release

🔄 Batch, quantity, location, status

📝 State before and after, decision, reference

✅ Authority authorized to change the status

📦 Internal transfer

🔄 Product, batch, quantity, old and new location

📝 Timestamped movement, user

✅ Confirmation of departure and arrival

📦 Reservation and preparation

🔄 Order, product, batch, quantity, expiration

📝 Preparation reference, confirmed picking

✅ Selection rules and deviation control

📦 Shipping

🔄 Order, package, batch, quantity, transport, status

📝 Shipping confirmation and tracking

✅ Match between preparation and package

📦 Return

🔄 Original order, product, batch, quantity, condition

📝 Reason, return receipt, decision

✅ Blocking before evaluation

📦 Adjustment of inventory

🔄 Product, batch, location, corrected quantity

📝 Reason, state before and after, user

✅ Approval according to the type of discrepancy

📦 Recall or exception investigation

🔄 Batch, orders, shipments, affected returns

📝 Research, decisions and related transactions

✅ Completeness of the identified scope

Applicable batches, expiration dates, and serial numbers allow for end-to-end traceability. Their tracking helps identify the products involved during a recall (Priority ERP) [2].

User history, date and time, reason, the states before and after, as well as the transaction reference must be included in the internal requirements. Emaloja also documents detailed tracking of shipments with traceability.

Test the reconstruction of a complete path from a batch, an order, a return, and an adjustment. The test should retrieve the movements, statuses, and associated decisions.

Security, auditability and compliance: what must be demonstrated

Distinguish the documented capabilities from the requirements to be validated

A statement on security or auditability must refer to a configuration, a test, a log, or a consultable procedure.

Application programming interfaces (APIs) that expose critical processes may require authentication, role-based permissions, rate limiting, and input validation. Transport Layer Security (TLS) encryption and logging are also part of the technical API controls to be evaluated [3]. These points do not automatically describe the functions of Emaloja.

An integration cannot be declared compliant with Swiss requirements, good manufacturing practices (GMP), good distribution practices (GDP), or a safety standard without competent validation. Critical functions of a pharmaceutical system may require risk-based validation, documented testing, and change management (ERP for life sciences) [4].

Questions to ask before production deployment

Check the following points with IT, operational, and quality teams:

  • How do the interfaces authenticate?
  • What roles can read or modify each data?
  • Do the exchanges use encryption in transit?
  • What events and errors are logged?
  • How to monitor, resume, and reconcile a failed exchange?
  • How to test backup, restoration, and retention?
  • Who approves interface changes?
  • What end-to-end tests cover exceptions?

Before deployment, request an interface matrix, the inventory of exchanged data, error management rules, and available evidence.

Prepare an integration framework for Switzerland

The framework covers Swiss operations, from receipt to returns. It includes national or cross-border shipping, as well as import and customs when they fall within the scope.

Prepare the project around these actions:

  • Map the ERP, the WMS, the sales channels and the transport systems
  • Name the owner of each data and status change
  • Define stock statuses and their conditions of transition
  • Document exceptions, returns and cross-border events
  • Set the criteria for reconciliation between physical and digital stocks
  • Organize traceability tests across multiple paths

Emaloja haslogistics warehouses in Switzerland, France and other European countries. This location alone does not allow for a conclusion about a specific pharmaceutical, customs or regulatory capacity.

The framing must confirm the compatibility of products with the planned operations. Review storage conditions, quality requirements, cross-border flows and the responsibilities of each stakeholder. To prepare an ERP integration for inventory management and traceability in the pharmaceutical sector in Switzerland, request a framing with the list of systems, channels, flows, critical data and internal requirements.

In summary

A reliable integration relies on a responsible reference for each data and each status. Events must remain synchronized from receipt to shipment, with verifiable evidence and demonstrable technical controls.

Define the traceability of batches, expiration dates, stock statuses and exceptions before going into production. Then test the ability to reconcile physical operations with digital transactions.

Emaloja can participate in a technical and operational framing based on your systems, your channels, and your flows between Switzerland and the European Union. This work allows for clarifying the scope without presuming a compliance, a level of security, or a performance that remain to be validated.
